Description
The Director of Corporate Records Policy and Compliance is responsible for management of the Legal and Corporate Affairs (LCA) / Microsoft’s document retention program and has accountability for the policies governing the company’s recorded information assets. This leader would recommend and implement information policies and procedures to meet regulatory requirements and will over time be the liaison for communicating and monitoring the records and information management processes for LCA and other corporation functions at Microsoft. This role also has responsibility for developing and executing on the strategic plan, in partnership with practice group leaders, to address LCA’s information management challenges globally.
Responsibilities
1. Define and maintain the records management retention schedule, policy, and procedures.
2. Notify Microsoft’s legal department and the Records Management Steering Committee of any amendments that should be made to policy or procedures, and/or the records retention schedule due to changes in legal, regulatory or operational requirements.
3. Analyze the company’s current records system and processes and make recommendations on effective compliance measurement and reporting.
4. Guide the creation of policy directives and standard operating procures for creation, storage, retrieval, protection, preservation and destruction of corporate records in all formats including but not limited to paper, electronic documents, video/audio records.
5. Serve as an evangelist on the importance of records management across the LCA department; advise business groups on creating compliance plans following retention policies and schedules; advocate for records management best practices to relevant clients, where appropriate, in conjunction with Microsoft business and technical teams.
6. Work with compliance officer to ensure continued conformity with record keeping requirements of the Sarbanes Oxley Act of 2002, other legislation to which the company may be subject, and industry standards and practices.
7. Consult with LCA attorneys to identify information management retention needs and best practices and determine their applicability to specific business operations and records.
8. Recommend tools, technology and systems needed to implement the Records Management Program.
9. Develop and implement plans for integrating records with intra/extranets, portals, content management systems, etc.
10. Collaborate with LCA stakeholders and Solution Delivery and IT team to develop taxonomy and storage solutions to support CRM and information management strategies.
11. Responsible for budget and resources for information and records management related projects.
Qualifications
Bachelors degree, preferably in legal, accounting, finance, business, math or related field. 7 plus years of experience in records management. Strong leader and communicator. Proven track record of implementing information management solutions. Must be a self-motivated, detail oriented individual with excellent analytical, project management, oral and written communication skills. Ability to handle multiple, highly complex tasks simultaneously. Knowledge and experience specific to information management strategies and implementations of solutions using SharePoint.
